How to set it up
- Create an agent from the appointment-booking template, with your service list, season dates and crews' typical visit windows.
- Add the zip codes or town names you serve to the knowledge base, along with minimum job rules and which services need a site visit.
- Add extraction fields for address, lot size, services wanted, gate or pet notes and whether the caller is new or existing.
- Connect a calendar for estimate visits and add a separate path that logs missed-visit complaints for the office.
- Test, publish, and schedule a batch of renewal calls near the end of your season with each customer's name as a variable.

Things to consider
- Pesticide and fertilizer application is licensed and regulated in many places. Keep the agent from making claims about treatments or results; refer such questions to a licensed applicator or your staff.
- Do not allow price promises sight unseen. Ask the agent to say that an estimate follows a site visit or photos, as your process requires.
- Renewal and promotional calls to past customers are outbound calls. Confirm consent and calling-hour rules, and ask your counsel about TCPA obligations in the United States.
- Complaints about property damage should be passed to a person, not resolved by the agent.
- Calldesk does not currently claim any compliance certification, so if your industry requires one, ask us what we can show you before you rely on it.
What Calldesk costs
Calldesk charges per minute of call time, with three plans. There is no monthly minimum and no per-booking or per-transfer fees, and you can cancel any time.
- Lite (2¢ per minute): an efficient engine with a clear, English-only voice. Suited to straightforward calls such as confirmations and quick questions, where cost matters most. Voice: Clear and efficient. Response speed: Good. Reasoning: Good.
- Standard (5¢ per minute): a fast, strong engine with a natural voice. Suited to most businesses: reception, booking, intake and after-hours coverage. Voice: Natural. Response speed: Fast. Reasoning: Strong.
- Pro (9¢ per minute): our strongest engine with our most expressive voice. Suited to complex or high-stakes calls where reasoning and tone matter most. Voice: Most expressive. Response speed: Fast. Reasoning: Strongest.
Phone carrier charges are separate. Phone numbers from Calldesk are a paid extra on every plan: Telnyx $1.00 per month per number plus 1 cent per inbound minute; Twilio $2.00 per month per number plus 1.5 cents per inbound minute. Registering a number you already own costs nothing extra. Outbound calls use your own carrier. Expert backup is an optional extra on Lite and Standard at 1.5 cents per minute; it hands the turns your agent is unsure about to a stronger model for better accuracy on hard turns.

Common questions
- Can the agent give a price for mowing?
- Only a price you have written down and approved. Many landscapers prefer it to book a quick visit and let the crew lead quote after seeing the yard.
- What about commercial bids?
- Add a branch that identifies commercial and HOA contacts and sends them to the person who writes bids, with the property size and number of buildings captured as fields.
- Does it handle snow plowing season?
- If you offer plowing, add it to the knowledge base and flow, including how storm-day calls are handled. During storms the agent can log requests, while dispatch stays with your team.
- How do customers report a missed mow?
- A separate path asks for the address and date of the missed visit and creates a record the office can resolve. The agent should not promise a make-up visit unless you allow it.
- Can it speak Spanish with customers?
- Calldesk supports many languages on the Standard and Pro voices; Lite speaks English. You can set the language per agent.
