- Create an agent from the appointment-booking template and describe each service type: standard, deep, move-out, office.
- Add the knowledge base with what each service includes, products used, pet policy, areas served and cancellation terms.
- Define extraction fields for service type, property size, bedrooms and bathrooms, pets, access instructions and desired date.
- Connect a calendar with crew capacity, and add a path for existing clients to skip or move a visit.
- Test the flows, publish, and schedule outbound confirmation calls the evening before jobs.

Things to consider
- Entering a client's home brings access and security questions. The agent should not collect door codes or alarm information on a call unless you have decided how to protect them; handle those separately.
- Do not allow firm price quotes unless you have approved the exact figures or ranges. Written estimates after a walkthrough avoid disputes.
- Confirmation calls are service calls to existing clients, but promotional outreach is different. Check consent and calling rules with your own counsel, including TCPA in the United States.
- Staffing, insurance and bonding statements must be true for your business; the agent should repeat what you have written.
- Calldesk does not currently claim any compliance certification, so if your industry requires one, ask us what we can show you before you rely on it.
What Calldesk costs
Calldesk charges per minute of call time, with three plans. There is no monthly minimum and no per-booking or per-transfer fees, and you can cancel any time.
- Lite (2¢ per minute): an efficient engine with a clear, English-only voice. Suited to straightforward calls such as confirmations and quick questions, where cost matters most. Voice: Clear and efficient. Response speed: Good. Reasoning: Good.
- Standard (5¢ per minute): a fast, strong engine with a natural voice. Suited to most businesses: reception, booking, intake and after-hours coverage. Voice: Natural. Response speed: Fast. Reasoning: Strong.
- Pro (9¢ per minute): our strongest engine with our most expressive voice. Suited to complex or high-stakes calls where reasoning and tone matter most. Voice: Most expressive. Response speed: Fast. Reasoning: Strongest.
Phone carrier charges are separate. Phone numbers from Calldesk are a paid extra on every plan: Telnyx $1.00 per month per number plus 1 cent per inbound minute; Twilio $2.00 per month per number plus 1.5 cents per inbound minute. Registering a number you already own costs nothing extra. Outbound calls use your own carrier. Expert backup is an optional extra on Lite and Standard at 1.5 cents per minute; it hands the turns your agent is unsure about to a stronger model for better accuracy on hard turns.

Common questions
- Can the agent give instant quotes?
- It can collect the facts that drive a price and give ranges if you provide them. Many cleaners prefer to confirm the price themselves after seeing the details, and the agent can say the office will follow up.
- What if a client needs to cancel the same morning?
- A cancellation path can record the request and apply your policy wording. Whether to waive a fee is a decision for you, so route those calls to the owner when needed.
- Does it work for commercial cleaning?
- Yes, as a separate branch that asks about square footage, frequency and building access, then books a walkthrough with the person who writes bids.
- How are recurring clients handled?
- Skips and changes are logged in the call summary and can be pushed by webhook to your scheduling tool. The agent does not edit your recurring schedule on its own.
- Do I need a new phone number?
- No. You can forward your business line to a number registered in Calldesk, register a number you already own, or add a number from Calldesk.
