Calls a Calldesk agent can handle
- No-cooling calls during a heat wave from homeowners with a warm house
- No-heat calls on a freezing night, sometimes with vulnerable household members
- Requests for a replacement estimate on an old furnace or air conditioner
- Maintenance-plan members asking when their seasonal tune-up is scheduled
- Thermostat, filter and strange-noise questions that may not need a truck
- Commercial property contacts reporting a rooftop unit down and asking for a window
A sample call
An illustrative example written for this page. The business in it is fictional, and this is not a recording of a real call.
- AgentThanks for calling. I'm the company's AI assistant. Is your system not cooling, not heating, or are you after something else?
- CallerOur AC is running but the house is at 86 and climbing.
- AgentThat's uncomfortable. Can I get your name and the address of the home?
- CallerWalt Dietrich, 77 Cedar Lane.
- AgentThanks, Walt. Is the outdoor unit running, and is there ice on any of the lines?
- CallerThe fan outside is going, and I think there's frost on the pipe.
- AgentThat's useful for the technician. A common step is to turn the system off so ice can melt, but I can't diagnose it. The next opening is tomorrow between 8 and 10, with the diagnostic fee listed on our service page. Would you like that slot?
- CallerAnything sooner today?
- AgentLet me connect you to dispatch to ask about a same-day cancellation. One moment.
- CallerThanks.
How to set it up
- Create an agent from the receptionist or appointment-booking template, with your company name, service area zip codes and a short list of equipment types you service.
- Write the knowledge base with your diagnostic fee wording, plan benefits, hours and a statement about what the agent can and cannot diagnose.
- Add extraction fields for address, system type, symptom, how hot or cold the home is and any vulnerable occupant.
- Connect a calendar for service windows, and add a transfer to dispatch for same-day, no-heat or commercial calls.
- Test peak-day scenarios, publish, and schedule a batch of tune-up reminder calls for plan members before each season.
Features used
- Calendar booking: Offers open service windows when dispatchers are on the road and cannot take the call.
- Structured field extraction: Records address, equipment type and symptoms so the technician arrives with context.
- Call transfers: Escalates same-day, no-heat and commercial calls to a dispatcher line you choose.
- Knowledge base: Answers service-area, fee and plan questions the same way each time, in your wording.
- Batch outbound calls: Reminds maintenance-plan customers that their seasonal visit is due, with each customer's name as a variable.
Calendars connect through Cal.com (Google, Outlook and iCal calendars via Cal.com). A Cal.com account is needed.
Things to consider
- Safety situations such as a gas smell, carbon monoxide alarm or burning odor are not HVAC scheduling matters. Instruct the agent to tell the caller to leave the home and contact emergency services or the gas utility, and to transfer to a human.
- Do not allow the agent to promise arrival times or prices you cannot keep. Quote the diagnostic fee as written in your knowledge base.
- Reminder calls to customers are outbound calls; confirm you hold consent and observe calling hours, and ask counsel about TCPA if you operate in the United States.
- Contractor licensing and refrigerant handling rules are your responsibility; the agent should not give instructions for DIY repair.
- Calldesk does not currently claim any compliance certification, so if your industry requires one, ask us what we can show you before you rely on it.
What Calldesk costs
Calldesk charges per minute of call time, with three plans. There is no monthly minimum and no per-booking or per-transfer fees, and you can cancel any time.
- Lite (2¢ per minute): an efficient engine with a clear, English-only voice. Suited to straightforward calls such as confirmations and quick questions, where cost matters most. Voice: Clear and efficient. Response speed: Good. Reasoning: Good.
- Standard (5¢ per minute): a fast, strong engine with a natural voice. Suited to most businesses: reception, booking, intake and after-hours coverage. Voice: Natural. Response speed: Fast. Reasoning: Strong.
- Pro (9¢ per minute): our strongest engine with our most expressive voice. Suited to complex or high-stakes calls where reasoning and tone matter most. Voice: Most expressive. Response speed: Fast. Reasoning: Strongest.
Phone carrier charges are separate. Phone numbers from Calldesk are a paid extra on every plan: Telnyx $1.00 per month per number plus 1 cent per inbound minute; Twilio $2.00 per month per number plus 1.5 cents per inbound minute. Registering a number you already own costs nothing extra. Outbound calls use your own carrier. Expert backup is an optional extra on Lite and Standard at 1.5 cents per minute; it hands the turns your agent is unsure about to a stronger model for better accuracy on hard turns.
Prices on this page are read from the same source as the live pricing page. Check the pricing page (/pricing) for the current figures before you decide.
Common questions
- Can the agent tell a caller what is wrong with their system?
- No. It can ask symptom questions to help the technician prepare, but it should not diagnose over the phone, and its instructions should say so.
- What about a heat wave when every slot is taken?
- Fill the calendar with real availability. When no slot exists, the agent can take the request with priority notes and a callback promise that you are able to keep, rather than inventing times.
- Can it quote a replacement system?
- A replacement is a large sale. A good pattern is to collect the home details and book a free-estimate visit or transfer to your comfort advisor, rather than price anything on the phone.
- Does it work for commercial customers?
- Yes, as a separate branch. Ask whether the building is commercial and route those calls to the person who handles service contracts.
- Which plan fits an HVAC office?
- Standard is described on the pricing page as suited to reception, booking and intake. Lite is cheaper and has an English-language voice, for simpler confirmation calls.
Included on every plan: Call summary; Full transcript; Structured field extraction (name, reason for the call, and anything else you ask for); Call transfers; Keypad tones (DTMF); Knowledge base; Calendar booking; Call testing and live call monitoring; API and MCP server; 40+ languages (non-English languages need the Standard or Pro voice; Lite's voice is English only).
