How it works
- Create an agent from the receptionist template, or start blank, and set your business name and the agent name it should use in the variables.
- Write a knowledge base for the questions you answer all day (hours, address, services, parking, how to pay) and attach it to the agent so answers come from your text and not from guesswork.
- Add an extraction step that collects the caller's name, callback number and reason for calling, plus any extra fields your team needs such as account number.
- Set a transfer step with the E.164 number of the person or desk that should take urgent or human-requested calls, and choose a warm or cold transfer.
- Publish a version, pick a tier (Standard is described on the pricing page as suited to reception, booking, intake and after-hours coverage), and route your phone number to the new version, or to a production environment so later updates need no re-routing.
- Place test calls, then check the Live Calls page during the first few days and read summaries and transcripts to tighten the prompt.
- Optionally register a webhook for call completion so summaries land in your CRM or inbox automatically.

- Knowledge base: The agent answers hours, services and location questions from text you wrote, which keeps routine answers consistent.
- Structured field extraction: Name, callback number and reason for the call are captured into named fields instead of buried in audio.
- Call transfers: Urgent callers and callers who ask for a person can be passed to a number you set, with the option of a warm transfer.
- Call summary and full transcript: Each call produces a short summary and a transcript so staff can triage without replaying the call.
- Call testing and Live Calls page: You can test the agent before it takes real traffic, and the Live Calls page shows which calls are in progress and where each is in the flow. It shows call state, not audio.
- Environments (staging and production): Edit and test a new version in staging, then promote it so the number picks it up without being re-routed.
Things to consider
- Say plainly that the caller is speaking with an AI assistant; some jurisdictions and carriers expect disclosure, and it builds trust either way.
- If calls may be recorded, announce it in the opening line. Recording consent rules differ by state and country, so confirm what applies to you with counsel.
- Do not let the agent answer questions your knowledge base does not cover. Instruct it to take a message instead of improvising on pricing, medical or legal topics.
- Calldesk does not currently claim any compliance certification, so if your industry requires one, ask us what we can show you before you rely on it.
What Calldesk costs
Calldesk charges per minute of call time, with three plans. There is no monthly minimum and no per-booking or per-transfer fees, and you can cancel any time.
- Lite (2¢ per minute): an efficient engine with a clear, English-only voice. Suited to straightforward calls such as confirmations and quick questions, where cost matters most. Voice: Clear and efficient. Response speed: Good. Reasoning: Good.
- Standard (5¢ per minute): a fast, strong engine with a natural voice. Suited to most businesses: reception, booking, intake and after-hours coverage. Voice: Natural. Response speed: Fast. Reasoning: Strong.
- Pro (9¢ per minute): our strongest engine with our most expressive voice. Suited to complex or high-stakes calls where reasoning and tone matter most. Voice: Most expressive. Response speed: Fast. Reasoning: Strongest.
Phone carrier charges are separate. Phone numbers from Calldesk are a paid extra on every plan: Telnyx $1.00 per month per number plus 1 cent per inbound minute; Twilio $2.00 per month per number plus 1.5 cents per inbound minute. Registering a number you already own costs nothing extra. Outbound calls use your own carrier. Expert backup is an optional extra on Lite and Standard at 1.5 cents per minute; it hands the turns your agent is unsure about to a stronger model for better accuracy on hard turns.

- Does the agent replace my receptionist?
- It covers the first touch on calls. You decide which situations go to a person, and transfers to staff are a built-in step, so most teams use it alongside people.
- Which phone numbers can it answer?
- You can register a number you already own and forward calls to it, at no extra charge on every plan, or add a number from Calldesk as a priced extra. Inbound calls to the number are routed to the agent version you choose.
- How do I know what it said to callers?
- Every call has a transcript and a summary in the dashboard and through the API, and the Live Calls page shows which calls are in progress right now.
- Which plan should I start with?
- The pricing page describes Standard as suited to reception and booking, and Lite as an English-language option for simple calls. Rates are per minute of talk time, with carrier charges billed separately.
- Can one agency account serve several clients?
- Yes. You can build a separate agent per client and route each client's number to its own agent, so scripts and call logs stay apart. Confirm the account setup that fits your billing arrangement with Calldesk.
